Part Time Bookkeeper

The Arkell Museum & Canajoharie Library are seeking a part-time bookkeeper to join our staff. Located in Montgomery County, NY, the Museum and Library are one legal non-profit organization that serve the regional community as a Library while attracting Museum visitors from around the country. The bookkeeper reports to the Executive Director and Library Director on specific projects, and works regularly with the Administrative Assistant and part-time desk staff. Responsibilities:
● Conducts all duties associated with accounts payable including interacting with staff and vendors, processing invoices, coding expenses, and data entry
● Conducts all duties associated with accounts receivable including processing donations, performing bank deposits, and tracking and following up on accounts
● Conducts duties associated with payroll, including inputting data into Paychex
● Performs monthly bank account reconciliations
● Performs credit card reconciliations
● Oversees annual audit
● Inputs financial data into annual library and grant reports
● Maintains financial records in accordance with industry standards
● Prepares financial reports as requested by collecting and summarizing account information and trends
● Assists the Directors on detailed budget projections and monthly reports for the Board of Trustees
● Complies with federal, state, and local legal requirements by studying requirements; enforcing adherence to requirements; filing reports; advising Directors on needed actions
● Oversees insurance renewals
● Performs other financial duties as assigned

Desirable Education & Experience:
● Associate’s degree or higher in business administration, accounting, or another relevant field
● Minimum of two years accounting or bookkeeping experience including accounts payable, accounts receivable, general ledger, and financial report
● Excellent written and verbal communication skills
● Ability to plan and organize work routines and long-range projects
● Ability to establish and maintain effective working relationships with the Executive and Library Directors, staff, vendors, and the public
● Proficiency with QuickBooks, Paychex, and Revel (point of sale system)
● Non-profit bookkeeping experience a plus
● Understanding of library operating systems a plus
● Excellent organizational and follow-through skills, ability to multi-task, prioritize and work under deadlines
● Ability to maintain strict confidentiality and communicate in a professional manner with board, staff, funders, and members

Hours and Salary:
15 hours per week (two 7.5 hour-days/week or three 5 hour-days/week)
$22.73 per hour

Building and Grounds Assistant

Building and Grounds Assistant
The Arkell Museum and Canajoharie Library Building & Grounds Assistant is responsible for maintaining and monitoring facilities, fixing and problem-solving building issues, and maintaining professional relationships with necessary contractors. The Head of Facilities and Buildings & Grounds Assistant are the first line of security and represent the Library and Museum to outside contractors.

Responsibilities
Building & Grounds
• Help with annual and daily maintenance, and repair work
• Suggest and help maintain suitable supplies, tools, and equipment
• Help monitor and maintain HVAC systems; help keep daily logs of temp and humidity
• Help keep walks clear of snow and ice; help mow gated garden
• Provide information for and help oversee annual state, local, and fire inspections
• Help maintain inventory records for OSHA compliance
• Help with event set up and break down
• Respond to emergencies as required

Security
• Help monitor and maintain security systems, cameras, and monitors
• Help oversee the work of security contractors
• Respond to security alarms as per designated on call list; maintain accurate call records
• Assist with art handling and moving as requested

Desirable Experience
• Demonstrated building maintenance experience
• Ability to read and explain blueprints, basic operating instructions, and safety data sheets
• Familiarity with workplace HVAC and security systems
• Good oral and written communication skills
• Must demonstrate ready aptitude for new information, skills, and assigned responsibilities
• Working knowledge of Microsoft Office including but not limited to Excel, Word, and Outlook

Physical Demands
• Must be able to stand and walk comfortably for long periods of time
• Must be able to stoop, kneel, and climb ladders as required
• Must be able to lift and move 50lbs

Overview
• This position averages 15 hours/week; the pay is $15.00/hour
• This position requires occasional evening and weekend hours
• Regular work schedule will be determined by the Executive Director, Head of Facilities, and successful candidate

Part-Time Front Desk Clerk

The Canajoharie Library & Arkell Museum Front Desk Clerks are responsible for creating an inviting atmosphere and offering excellent customer service at the Library circulation and Museum admission desks. Front Desk Clerks are the first line of service and represent the Library and Museum to the public. Clerks are supervised by the Library Director.

Desirable Education and Experience:
High School graduate or equivalent with applicable, documented work experience
Some Business School or Junior College desirable
Excellent customer service skills and an appreciation for reading, education, and the arts is highly desirable
Clerks must pass background checks

Schedule and Wages:
$15.00/hr, 20 hrs/wk on average
Every other Saturday and Sunday

General Duties:
Place the patron and visitor first; actively greet and interact with all arriving patrons and visitors
Provide patrons and visitors with information regarding Library and Museum programs and services
Maintain a clean, well-stocked, and organized workstation
Write a report of any incident occurring on Library/Museum property
Professionally answer the phone, provide information, and transfer calls as necessary
Perform opening and closing duties
Record automatic door count and reset at closing
Perform other duties as assigned by supervisor

Library Duties:
Assist in creating a safe and welcoming environment for all patrons
Operate Polaris computer system to perform routine patron transactions such as placing holds, checking materials in/out, updating registration, and registering new library cards.
Collect and process replacement and other fees.
Use the CASSIE system to print patron requests and collect fees for printing.
Assist patrons in locating library materials and offer basic reference support using print and online sources.
Provide computer support to patrons including assistance with public computers, online catalog access, downloadable audiobooks and ebooks, etc.
Print out and fill daily library holds list.
Check-in MVLS hold bins and call patrons who have holds.
Maintain Library collection through shelving and shelf reading of materials.
Assist Library Director with programs as needed

Museum Duties:
Open the Galleries upon arrival; close Galleries at end of day
Introduce the exhibits and point out gallery locations
Point out Museum rules as appropriate, particularly concerning no touching, food or drink, or photography
Assist in creating a safe environment for visitors and the collection through monitoring gallery security cameras
Perform scheduled Gallery walkthroughs; report problems to Facilities and appropriate staff
Operate Revel POS sales system for admission fees, memberships, Gift Shop, and Regional Art Gallery purchases
Operate cash drawer

Desk Clerks work as a team to ensure adequate desk coverage; all Clerks are trained in both Library and Museum duties for ease of daily operations and staff scheduling; all Clerks are expected to work as a team and at both desks with equal ease. The ideal candidate will demonstrate continuous efforts to improve operations, streamline work processes, and work cooperatively and jointly with other staff members to provide seamless customer service.

Canajoharie Library and Arkell Museum Desk Clerk Position
Part Time Gardener

The Arkell Museum and Canajoharie Library seek a knowledgeable and capable part - time seasonal gardener for May 1- October 1.
This position is 5 hours per week and pays $15.00 an hour for a total of 100 hours.
Gardener may work flexible morning, afternoon, or evening hours as best fits their schedule.
Gardener reports to the facilities manager.

Responsibilities include managing the garden beds/pots, hedge trimming, and general bed maintenance (weeding, clearing, watering as needed); bulb and/or additional planting as discussed and with mutual agreement from buildings and grounds staff. No mowing.

Recommendations for low-care perennial expansion very welcome!
